How to Generate and Manage Report Card

Overview

Administrators can generate, export, and manage student report cards directly from the Admin Portal.


This feature allows you to create reports for individual students or entire sections, export them in bulk, and monitor export progress.

💡 Report Card functions are available only to users with the appropriate “Generate Report Card” permission.


1. Enabling Report Card Permissions

Before any actions are available, administrators must enable the Generate Report Card permission.

 

Steps:

  1. Go to Permissions → Sections.

  2. Check the box for Generate Report Card.

  3. Click Save.

Once enabled, the following buttons will appear on the Sections → Report Cards page:

  • Generate All

  • Export All

  • Delete All

2. Managing Individual Report Cards

You can manage report cards for one student at a time.

Generate a Single Report Card

  1. Navigate to Sections → Report Cards.

  2. Select a student.

  3. Click the ⋮ (three-dot menu) → Generate.

  4. The report card is generated, and buttons for Send to email and Regenerate will appear.

Regenerate a Single Report Card

  1. Find a student with an existing report card.

  2. Click the ⋮ → Regenerate.

  3. Confirm the prompt:
    “This will overwrite the existing progress report. Continue?”

  4. A new report card will be generated.

Email a Single Report Card

  1. Locate a student with a generated report card.

  2. Click Send to email.

  3. A confirmation message will appear once sent.

Delete a Single Report Card

  1. Locate the student.

  2. Click the Delete button or select it from the â‹® menu.

  3. A message will appear:
    “Deleted report card successfully!”

  4. The Generate button will reappear.


3. Bulk Actions for an Entire Section

You can generate, export, or delete report cards for all students in a section's grading period (e.g. Midterm Grade,  Semester Grade, Finals) at once. Beside the grading period's label, the dropdown selection appears.

 

Generate All Report Cards

  1. Go to Sections → Report Cards.

  2. Drop-select Generate All for the grading period.
  3. Confirm the prompt:
    “Caution: This will generate new report cards and overwrite all existing ones for students in this section. This action cannot be undone. Continue?”

  4. The system will generate reports for all students.

Export All Report Cards

  1. On the same grading period, click Export All.
    Note: There should at least be one generated report card for the Export All to proceed.

  2. A message appears:
    “Report cards are being processed in the background. To see the progress, click here.”

  3. The link directs you to the Setup → Bulk Exports page.

Delete All Report Cards

  1. Click Delete All for the applicable grading period.

  2. A confirmation message appears:
    “Deleted report cards successfully!”

  3. All students will now display the Generate button again.


4. Checking Bulk Export History

After a bulk export is started, you can monitor its status and download files once ready.

 

Steps:

  1. Click the link in the confirmation message or go to Setup → Bulk Exports.

  2. The page displays a history of all exported report card files with the most recent export on top.

  3. When a file is ready, a Download file link will appear.

Summary

The Report Card Management feature allows administrators to:

  • Enable and control report card generation permissions.

  • Generate, regenerate, email, and delete individual student reports.

  • Perform bulk operations across sections.

  • Download generated report cards from the Bulk Exports page.
